Requirements for participating in our proficiency testing programs
Payment & Enrollment
Tests are usually invoiced within a week of a participant signing up. Tests booked more than a month in advance are invoiced a month before the test week. Payment is expected before the test week. This ensures a smooth test process and prompt processing of reports. It is our policy to hold reports until we receive payment.
Multi-test prepaid packages must be paid in full to qualify for the package discount.
Shipping Responsibilities
Participants bear shipping costs to send test artifacts to the next participant or back to HN Proficiency Testing.
- Use UPS, FedEx, or equivalent courier with signature confirmation
- Use the proper class of service (2nd day, overnight...) to ensure delivery on the Friday of the test week.
- All participants must provide a domestic US shipping address, as we cannot ship packages outside the United States
Delivery Deadline
Test packages must reach HN Proficiency Testing or the next participant by the Friday of the test week.
Confidentiality Obligations
Participants must protect sensitive information including:
- Identity of preceding and subsequent participants
- Reference values for test artifacts
Required Actions
Upon receiving a test artifact, participants must:
- Notify HN Proficiency Testing immediately upon receipt
- Unpack and inspect items right away
- Report any damage promptly
Critical Restriction
No adjustment of gages or artifacts is allowed under any circumstances.
Changing batteries is not considered an adjustment.
For any other issues, contact HN Proficiency Testing before proceeding.
You are to measure the artifact as received, unless it is defective. We are not intentionally sending defective artifacts. Any adjustment or modification will invalidate your results and may result in charges for artifact replacement or recalibration. Please contact us when in doubt.
